    How We Keep Your Personal Data Secure

    We take the security of your personal data very seriously. As such, we have taken precautions to protect the security of all personal information we process. This includes having physical, electronic, and managerial procedures to help safeguard, prevent unauthorised access and maintain data security. Although neither people nor security systems are foolproof, including encryption systems, we have taken all reasonable measures to protect your information as securely as possible.

    If anything does happen and your personal data has been compromised, we will take action to rectify the matter. If you think your personal data has been compromised during your time with Hole19 please contact us immediately at help@hole19golf.com.

    We can't ensure the security of your personal information alone. Please remember that you provide personal data at your own risk and that no data transmission is guaranteed to be 100% secure. You are responsible for keeping your username and password secret and safe.

    Where We Store Your Data

    The personal data we collect is processed at our offices in London and Lisbon and in any data processing facilities operated by the third parties we work with.

    By submitting your personal data, you agree to this transfer, storing or processing by us. If we transfer or store your information outside the EEA in this way, we will take steps to ensure that your privacy rights continue to be protected as outlined in this Privacy Policy.

    Third Parties Who Process Your Data

    We use third parties to help us provide the best Hole19 experience possible. Sometimes it is necessary for us to share your data with third parties in order to get all our services to work well. Your data is shared only when strictly necessary and according to the safeguards and good practices detailed in this Privacy Policy. We will only partner with third parties who we believe are going to treat your personal data with just as much care as we do.

    We work with some third party organisations who provide services to us at Hole19 or to you on behalf of Hole19, including marketing assistance, customer service, sending emails, removing repetitive information from customer lists and analysing data. We may also have to share your personal information if we are required to do so by law or to respond to a legal process.

      We use this service for customer communications, user interaction and helpdesk assistance.

  4. 5.4

    How Long We Keep Your Data

    We retain your personal data for as long as your account is active or as needed to provide you with our services. Specifically:

    • Account data (name, email, profile information, round history) is retained for the duration of your account and for up to 2 years after account closure or last activity, to allow account recovery and to comply with legal obligations.

    • Health and Fitness data is retained only for as long as it is needed to provide the relevant in-app features, and no longer than the duration of your account.

    • Financial and payment records are retained for up to 7 years in accordance with applicable tax and accounting laws.

    • Analytics and usage data (collected via third-party tools such as Mixpanel and Google Analytics) is retained in accordance with the retention policies of those providers, which you can review via the links in Section 5.3.

    After the applicable retention period, your data is securely deleted or anonymised so it can no longer be associated with you.
